PRIVACY POLICY

How we collect, use, store, and protect your information when you visit our website or interact with our advertising.

Vanguard Academy Jiu-Jitsu ("Vanguard Academy," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect from visitors to www.vanguardjj.com and related subdomains (the "Site"), how we use it, who we share it with, and the choices you have. It also describes how we work with third-party advertising and analytics providers, including Meta (Facebook and Instagram), Google, and other partners, in compliance with their advertising and platform policies.

By using the Site, submitting a form, calling our locations, or interacting with our advertising, you acknowledge that you have read and understood this Privacy Policy.

1. Who We Are

Vanguard Academy Jiu-Jitsu operates two Brazilian Jiu-Jitsu and Kickboxing training facilities on Long Island, New York:

2. Information We Collect

2.1 Information You Provide Directly

When you fill out a free-trial form, contact form, schedule a class, sign up for a newsletter, or message us, we may collect:

  • Name (first and last)
  • Email address
  • Phone number
  • Preferred location (Lake Grove or Commack)
  • Age range or program of interest (e.g., adults BJJ, kids classes, kickboxing)
  • Any message, question, or note you submit

If a parent or legal guardian inquires on behalf of a minor, we may collect the child's first name and age solely to schedule a trial class. We do not knowingly collect more information from children than necessary to respond to that inquiry. See Section 9 below.

2.2 Information Collected Automatically

When you visit the Site, we and our third-party providers automatically collect technical information through cookies, tracking pixels, server logs, and similar technologies, including:

  • IP address and approximate location (city/region level)
  • Browser type, operating system, device type, and screen size
  • Referring URL and pages viewed on the Site
  • Date, time, and duration of your visit
  • Click and scroll behavior on the Site
  • Hashed identifiers used by advertising platforms to match conversions

2.3 Information from Third Parties

We may receive information about you from advertising platforms (such as Meta and Google) when you click on one of our ads, from form-handling and CRM tools we use (such as GoHighLevel), and from review platforms (such as Google Business Profile) if you leave a public review.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Respond to inquiries — book free trial classes, answer questions, and provide information about programs, schedules, and pricing.
  • Provide and improve our services — manage memberships, schedule classes, and improve the Site experience.
  • Send communications — send transactional messages (e.g., trial confirmations) and, if you opt in, marketing emails or SMS about classes, events, and promotions. You can unsubscribe at any time.
  • Measure and improve advertising — track which ads, channels, and campaigns drove your visit so we can measure return on ad spend, deliver more relevant advertising, exclude existing customers from acquisition campaigns, and build similar (lookalike) audiences.
  • Comply with legal obligations — respond to lawful requests, enforce our Terms, and protect our rights, property, and the safety of our staff and members.

4. Cookies and Tracking Technologies

We use cookies, web beacons, server-side tracking, and similar technologies to operate the Site, measure performance, and serve advertising. You can control cookies through your browser settings, but disabling cookies may limit some features.

The categories we use are:

  • Strictly necessary — required for the Site to load and function (e.g., session, security).
  • Performance and analytics — help us understand how visitors use the Site (e.g., Google Analytics).
  • Advertising and targeting — help measure ad performance and serve relevant ads (e.g., Meta Pixel and Conversions API, Google Ads conversion tracking, remarketing tags).

5. Advertising Partners and How We Comply with Their Policies

5.1 Meta (Facebook and Instagram)

We use the Meta Pixel and the Meta Conversions API to measure the effectiveness of our advertising on Facebook and Instagram, optimize ad delivery, and build custom and lookalike audiences. When you visit the Site or submit a form, certain information — which may include your IP address, browser data, the pages you view, and hashed contact information (such as a hashed email or phone number) — may be shared with Meta Platforms, Inc.

We follow Meta's Business Tools Terms, Custom Audiences from Customer File Terms, and Advertising Standards. We do not knowingly send Meta any of the categories of "Restricted Data" or sensitive personal data prohibited by Meta's policies (for example, government identifiers, health data, or financial account numbers).

You can manage how Meta uses your data by visiting your Ad Preferences on Facebook or Instagram, or by using the "Activity off Meta technologies" tool to disconnect off-Meta activity from your account.

5.2 Google (Ads, Analytics, Tag Manager, YouTube)

We use Google Analytics, Google Ads (including conversion tracking and remarketing), Google Tag Manager, and may use YouTube embeds. These services use first-party and third-party cookies to recognize you across sites, measure ad performance, and serve more relevant ads on Google search, the Google Display Network, YouTube, and partner properties.

We follow Google's Personalized Advertising policy, the Google EU User Consent Policy, and the requirements set out in Google Ads' remarketing policies. We do not use sensitive interest categories or personally identifiable information in remarketing audiences in a way that violates Google's policies.

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on, and you can control personalized ads at Google Ads Settings.

5.3 Other Advertising and Marketing Tools

We may also use TikTok Pixel, LinkedIn Insight Tag, or similar tools from time to time. Each operates under its own privacy policy. We will not use any tool in a manner that violates that platform's published advertising or data policies.

6. How We Share Your Information

We do not sell your personal information. We share information only as needed to operate our business:

  • Service providers — hosting (Cloudflare), CRM and form handling (GoHighLevel), email and SMS providers, analytics, advertising platforms (Meta, Google), and payment processors (Stripe). These providers are contractually limited to using your information only to perform services for us.
  • Advertising partners — as described in Section 5, in hashed or aggregated form for measurement, optimization, and audience building.
  • Legal and safety — when required by law, subpoena, or court order, or to protect rights, property, or safety.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, in which case any successor will be bound by this policy.

7. Data Retention

We retain personal information only as long as necessary for the purposes described above, to comply with our legal obligations, resolve disputes, and enforce our agreements. Inquiry data from prospects who do not become members is generally retained for up to 24 months. Member records are retained for the duration of membership and a reasonable period thereafter for accounting and tax compliance.

8. Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children's Privacy

Our website and services are intended for adults. Children under 13 should not provide any personal information through the Site. When a parent or legal guardian enrolls a minor in a kids program, the parent/guardian provides the necessary information on the child's behalf. If you believe a child under 13 has provided us with information directly, please contact info@vanguardjj.com and we will delete it.

10. Your Rights and Choices

Depending on where you live, you may have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Opt out of marketing emails or SMS at any time (use the unsubscribe link in any message or reply STOP)
  • Opt out of personalized advertising via the platform settings linked in Section 5
  • Withdraw consent where processing is based on consent

California residents have additional rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know what personal information we collect, the right to delete, the right to correct, and the right to opt out of "sharing" for cross-context behavioral advertising. We do not sell personal information for money. To exercise any right, email info@vanguardjj.com with the subject line "Privacy Request."

We will respond to verifiable requests within the timeframe required by applicable law.

11. Do Not Track

Some browsers send a "Do Not Track" (DNT) signal. Because there is no industry standard for DNT, the Site does not currently respond to DNT signals. You can still control tracking through the cookie and ad-platform settings linked above.

12. International Visitors

Our facilities and servers are located in the United States. If you visit the Site from outside the U.S., your information will be transferred to and processed in the U.S., where data-protection laws may differ from those in your country. By using the Site, you consent to that transfer.

13. Third-Party Links

The Site may link to third-party websites (such as our online shop, social profiles, or partner sites). We are not responsible for the privacy practices of those sites. Please review their policies before providing information.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. Material changes will be highlighted on the Site. Your continued use of the Site after a change indicates acceptance of the updated policy.
